The Biostatistics and Research Decision Sciences (BARDS) organization has a proud record of providing comprehensive analytical and methodological expertise to support our company?s strategic goals. Our quantitative scientists aspire to maintain the highest quality output while adopting the most efficient and effective scientific and operational procedures that will promote breakthrough innovation, collaboration and professional activity.
The BARDS organization has established in Europe its Center of Excellence supporting Health Technology Assessment (HTA) dossiers. This Center of Excellence consists of one team of Statisticians and Statistical Programmers based across its London (UK), Brussels (Belgium) sites.

The greatest inventions would not be brought to market without the right project management and administrative support. Woven into every part of the organization, our Administrative teams makes sure our concepts become reality.

We have an exciting opportunity for an Administrative Assistant

to join our team on a position based in London St Pancras, UK.

You will join Biostatistics and Research Decision Sciences supporting our staff across all of our European sites (Brussels-BE and London-UK). The position contributes to the administrative support to BARDS Europe (BARDS EU) Leadership and Management Team members as well as to the entire BARDS Europe staff (30+ people). The position is an active part into the global network of administrative assistants within BARDS and BARDS Europe in particular.

Roles and Responsibilities for this Position:

Primary responsibilities are providing services to ensure the smooth running of the day-to-day business operations.
Implements efficiently and in full compliance all relevant administrative and finance procedures of the company in own department. This includes global and local (UK and European country specific) processes.

Financial support
Ensures the compliant follow-up of all financial processes from order to payment.
Monitors team budgets in SAP, participates in Finance budget update meetings, and provides regular feedback on budget.

Internal Communication and team work
Pro-actively communicates frequently in an effective manner with staff and internal stakeholders (within and across departments) to ensure that objectives are timely met with high quality.
Supports the BARDS Europe positive team dynamic (e.g. setup of staff meetings and team building events).

Project management
Provides assistance to department projects (e.g. execution and maintenance of project portfolios, dashboards or metric reports, drafts letters, proofreads).
Actively participates in special projects in the department.
Where necessary, types, writes documents for internal and/or external use.
Serves as Subject Matter Expert for Microsoft Office suite (mostly MS Word, Excel & Powerpoint).

Secretarial and administrative support
Timely, high quality day-to-day administrative/secretarial support: e.g. deals with general correspondence, manage and maintain file systems and team spaces, prepares presentations, organizes business travel (including ensuring timely delivery of Visas and Passports), organizes staff meetings, prepares expense reports, manages vacation schedule, books meeting-rooms, photocopy and printing, etc.
Tracks, reads and analyzes incoming mail, requests and reports in order to determine their significance and ensure appropriate action/follow-up.
Pro-actively prepares internal/external team meetings (meeting logistics, prepares meeting documents, direct liaison with selected facilitators and speakers).
Keep accurate contact details, publication lists, training records and CVs of staff.
Ensure that all administrative and research-related documents are archived correctly and timely in respect of the company records retention policy.
Orders, distributes, and keeps an inventory of supplies.
Attend and contribute to the London PA Admin Quarterly team meetings.

Qualifications, Skills and Experience:

Education & Experience:
Preferably Minimum A level (or equivalent) with at least 2 years working experience in a similar position.

Written and spoken fluency in English. Knowledge of business and scientific English, spelling, punctuation and grammar is important.
Excellent computers skills: Word, Excel, PowerPoint, Outlook, Teamspace, Concur and SAP (COMET). Experience/Interest in a programming languages supporting automation of tasks in those systems is a plus.

Very good organizational and planning skills with ability to work with limited supervision.
Clear ability to work in a virtual team (with staff across countries or working from home).
Effective interpersonal skills. Discretion and respect for confidentiality.
Remain calm under trying circumstances and work with frequent interruptions.
Experience in maintaining financial records and making basic math computations quickly and accurately.
Able to work across cultures in an Research & Development organization.
Problem solving and decision making.
Focused on customer needs and team oriented.
Very high accuracy and attention to details.
