EON Reality, the world leader in XR technology for knowledge transfer, is looking for an Executive Personal Assistant to be the supporting force for our Chairman and Executive Vice President. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. He/She will have previous experience working in an office environment, performing administrative duties, and providing support to management. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidentiality, attention to detail, and a professional demeanor.

Job Responsibilities

  • Provide executive level support to Chairman and Executive Vice President
  • Daily review and prioritization of Chairman’s emails
  • Manage calendars and schedule meetings for Chairman and Executive Vice President
  • Liaise with internal colleagues and external clients at all levels to organize meetings and prepare email correspondence with materials in a timely manner
  • Compose daily detailed transcriptions from multiple voice recordings, meeting minutes, & shorthand notes, and distribute to the required parties via email
  • Proofreading and editing email correspondence
  • Coordinate international and domestic travel including visas, flights, accommodation, and transfers
  • Support the Chairman and the Executive Vice President on a personal basis, including:
  • Immediate family needs
  • Scheduling medical appointments and filling prescriptions
  • Product purchasing (phones, computers, books, etc)
  • Technical support
  • Household support (appliance repair, vehicle maintenance, vendor payments, tax payment submissions, insurance needs, etc.)
  • Notarizations
  • Government-issued I.D.-related needs (passport renewals, driver’s license renewals, global entry)
  • Maintaining personal account information
  • Collating and filing expenses for Chairman and Executive Vice President
  • Procure and maintain documentation needed for attorneys, tax representatives, etc
  • Coordinate and manage orders for office supplies
  • Mailing (FedEx/DHL) & shipping of documents

Skills And Qualifications

• 4 years of experience in an administrative role

• Superb written and verbal communication skills

• Strong time-management skills and the ability to organize and coordinate multiple projects at once

• Proficiency in Microsoft Office and other office productivity tools, with an aptitude to learn new software and systems

• Flexible team player - willing to do what it takes to get the job done

• Adaptable and enjoys a challenge

• Ability to keep company confidences
